Why Quotations Matter in Odoo Sales

Selling effectively starts with the right tools. Without a streamlined system, salespeople waste time on manual tasks instead of closing deals. Odoo Sales solves this by automating quotation creation, customer management, and order processing — so your team can focus on selling.

This guide walks you through creating your first quotation in Odoo Sales, from adding customers to sending the final quote.

Adding a Customer to Your Quotation

To create a quotation, navigate to Sales > Orders > Quotations and click Create.

The first step is adding your customer. You have two options:

  • Select an existing contact from your database
  • Use Odoo's auto-complete feature — type a company name and Odoo searches an external database, returning matching results with pre-filled details like address, tax ID, phone number, email, and website

Once a contact is created via auto-complete, you can edit any field on the spot before saving. This eliminates manual data entry and reduces errors.

Adding Products and Using the Product Configurator

Click Add a product in the order lines to start building your quote. When you select a product with variants, Odoo's Product Configurator appears, letting you choose the exact variant your customer needs.

Key features when adding products:

  • Optional products — Pre-configured suggestions appear automatically. These are set up in the product template under Sales tab > Options

  • Manual adjustments — Change quantity and unit price directly in the order line
  • Equation support — Enter calculations like =9*12 in numeric fields and Odoo computes the result instantly

Organizing Your Quotation with Sections and Notes

A well-organized quotation is easier for customers to review. Odoo provides two tools for this:

Sections

Click Add a section to group related products. For example:

LightsOffice Lamp

Drag and drop sections and products to reorder them as needed.

Notes

Click Add a note to insert custom text anywhere in the quotation. Use notes for thank-you messages, special terms, or additional context.

Sending the Quotation to Your Customer

Once your quotation is ready, you have two delivery options:

  1. Print — Go to Print > Quotation/Order to generate a downloadable PDF

  1. Send by Email — Click Send by Email to open an editable email template with the quotation attached

The email template is fully customizable. Modify the greeting, add personal messages, or leave the default text as-is before hitting Send.

Tracking and Confirming the Order

After sending, Odoo keeps everything organized:

  • Chatter — View the sent email, PDF attachment, and all communication history directly on the quotation record

  • Customer Preview — Click Customer Preview to see exactly what your customer sees in the online portal, where they can sign and pay

From Quotation to Sales Order

When the customer accepts (either online or verbally), click Confirm to convert the quotation into a sales order. This triggers:

  • Status change from Quotation Sent to Sales Order
  • Automatic delivery order generation (if products require shipping)
  • Option to create an invoice

You can also resend the quote by email or cancel the order if needed.
